Job Summary

The administrative assistant is responsible to provide administrative, logistical and coordination services to assigned managers to help ensure efficiency and effectiveness of daily operations.

Duties

•Ensure smooth operations of daily activities of the Department
•Provide administrative, logistical and coordination support to assigned managers.
•Manage multiple agendas, email correspondence and produce various memos, letters, minutes, documents and reports
•Manage and maintain various databases and ensure proper filing of documents
•Responsible for logistics of managing financial information (payment requisitions, expense reports, etc.)
•Coordinate the planning process of events and meetings
•Draft and review French and English documents
•Keeps management abreast of key operational developments and takes appropriate action to ensure proper follow-ups on pending dossiers and issues

Education, Knowledge and Skills

•College degree in Office Administration
•4 to 7 years of relevant experience, namely in a multi task environment with tight schedule constraints.
•Proven interpersonal skills and ability to establish, interact and maintain relationships with co-workers, management, volunteers
•Independent, self-starter
•Handle confidential and sensitive information with utmost discretion and diplomacy
•Excellent communication, writing and presentation skills, in both English and French
•Impeccable organization skills and attention to quality and details
•Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook, Powerpoint, etc.)
