Job Summary

The Administrative Coordinator is responsible for all administrative support, registration, and operations of all Immersive Experiences / Missions. The administrative coordinator is responsible for ongoing communication with clients, providers, and organizations. The coordinator will also be responsible for all administrative duties, from development, processing registration, tracking information, and managing confidential and time sensitive materials.

Duties

• Track and process all forms of payments, donations, and any other sources of income.
• Manage registration on CRM database, collect and organize all intake forms.
• Establish and maintain relationships/communication with a network of organizations, professionals, travel providers and clients.
• Provide clarity of information to inquiries related to program details, application, and acceptance processes.
• Work with all relevant Directors, including but not limited to the Director of Immersive experience, Director and Associate Director of JIM Operations on all matters relating to logistics, data collection, program budgets and allocations.
• Liaise and work with other departments of Federation CJA, affiliated agencies and other communal organizations.
• Work with various platforms when it comes to event/program/grants to ensure all data is being housed in eDNA (Federation CJA’s CRM).
• Provision of day-to-day operations, including but not limited to purchasing, organization of program material, and act as the front-line administrative support.

Education, Knowledge and Skills

• A bachelor’s degree in a related field (finance, business administration, social sciences).
• A minimum of 3 years’ experience in a similar administrative / registrar role.
• Excellent computer and database management skills (Word, Excel, PowerPoint, Access, Project) and familiarity with donor tracking systems.
• Excellent attention to detail, high level of integrity and sensitivity to confidential matters.
• Excellent planning and organizational skills with an ability to prioritize multiple projects/tasks that require quick turnaround and quality output.
• Ability to effectively communicate complex ideas both in English and French (verbally and in writing), and ability to establish and maintain relationships.
• Strong knowledge of Montreal Jewish Community and commitment to Federation CJA values.
