Job Summary
|
This position is responsible for the management of data input, collection and maintenance as well as supporting various event and project management, and administrative tasks within the Hillel team. Works closely with the Director, Campus and Advocacy and the Hillel Executive Director to design and implement systems and workflow processes useful for data analytics, events, partner collaboration and community-building.

Duties and Responsibilities
|
Office Management: • Establishing protocols and procedures so that Hillel operates smoothly. • Hillel calendar management • Hillel house bookings and contracts with external groups • Budget management support: tracking expenses, ensuring checks and balances, monitoring visa expenses and organizing expense reporting, payment requisition follow up. • Building maintenance and security liaising • Booking staff travel • Keeping track of passwords and garage access • Fielding inquires to general email and phone • Keeping track of inventory and keeping House tidy and organized
Data Management: • Inputting data from Hillel’s database into Federation CJA’s CRM, including updating data on an as needs basis • Data Mining on an as needs basis • Collecting necessary data for reporting purposes • Supporting Hillel Initiatives • Inputting registration lists to Hillel’s database • Pulling prospect lists and regular interaction reports • Coordinator with Hillel team to ensure timely data input
Event and Program Management: • Including but not limited to room bookings, food and supplies purchasing, vendor contracts, invoicing / payment processing, calendar management and ability to be present at large-scale events to assist with event logistics • Support the immersive experiences programs with all logistics and trip preparation (such as payment processing, pre-trip binder preparation, information collection from participants etc.) • Grant applications and management, with supervision of Director, Campus and Advocacy and in collaboration with Hillel team. |
Education, Knowledge and Skills
|
• A university Degree in a relevant field • Experience in program, data and event management • Detail oriented, self-starter who can work with minimum supervision or general guidance and instruction • Excellent interpersonal skills and ability to work with other professionals • Comfortable working irregular hours (outside typical working hours) • Strong knowledge of the Montreal Jewish Community • Strong work ethic, organizational skills and ability to work in a multitasking environment • Knowledge of MS Office Suite and Monday.com |
