Job Summary

The Administrative Assistant offers support to assigned professionals in areas of daily activities, customer service and other given projects to ensure success of divisional operations.

Duties

The Administrative assistant provides direct administrative and clerical support to the assigned Professional. General office duties include but are not limited to management of email correspondence, production of various memos, letters, minutes, documents and reports, interaction with and addressing various inquiries from professional and support staff as well as lay leadership. The candidate also responds to inquiries coming from internal clients in a timely manner, prepares cheque requisitions, compiles and maintains committee lists and maintains office equipment. The incumbent will manage various databases, registration for events and manage the agenda for the division. The Administrative assistant is responsible for organizing the logistics of committee meetings, events, notices, room/food booking, prepares material for committee meetings, assists as needed with event planning, supports general campaign staff during campaign and Federation CJA events as needed and coordinates individual meetings with lay or professionals. Please note this list is not exhaustive and duties and responsibilities may be assigned or changed as the needed arises.

Education, Knowledge and Skills

The ideal candidate should possess a Cegep Degree in Office Administration or in secretarial studies as well as a minimum of 5 years in a similar position. The candidate must have the ability to learn database and must have intermediate to advanced computer skills in all Microsoft software (Word, Excel, PowerPoint, Outlook) in order to execute tasks such as mail merges, data sorting and reporting and correspondence. The incumbent must have an orientation to quality and detail with excellent organizational and interpersonal skills, ability to multi task, a Professional Demeanor, and must be able to work well under pressure in a busy and demanding fundraising environment bearing short notices. Strong spoken and written French is a must, English is an asset. Knowledge of Jewish Community and interest in working with volunteers and donors is an asset.
